This Privacy Policy explains how Freight Forwarding Network Portal ("FFNP", "we", "us") collects, uses and protects personal data when you visit our website, apply for membership, use the member directory or contact us.
1. Who is responsible
Freight Forwarding Network Portal is the controller of the personal data described in this policy. You can reach us at admin@example.com.
2. Data we collect
- Account and application data: name, job title, business e-mail, phone number, password (stored encrypted), and company details such as company name, address, country, website, services offered and ports/airports served.
- Verification documents: trade licences, freight-forwarding licences and similar documents you upload so we can verify your company. These are stored privately and are visible only to you and to our administrators.
- Directory profile: the company information you choose to publish in the member directory.
- Messages: contact-form messages and business inquiries you send through the website or to other members.
- Technical data: IP address, browser type, device and pages visited, collected through server logs and, if you consent, analytics cookies.
2a. Why we use your data
- To review applications, verify companies and operate your membership (performance of a contract / steps before entering a contract).
- To publish approved member profiles in the directory and to pass inquiries between members (legitimate interest in running the network, and your request).
- To respond to your messages and send service e-mails about your account, renewals and inquiries.
- To keep the website secure and prevent abuse (legitimate interest).
- To measure website usage, only where you have given consent through the cookie banner.
- To comply with legal obligations.
3. Who sees your data
Information in your public directory profile is visible to anyone. Business inquiries you send are shared with the member you contact. Verification documents are not public. We do not sell personal data. We use trusted service providers (for example hosting and e-mail delivery) who process data on our behalf under appropriate agreements. We may disclose data where required by law.
4. International transfers
FFNP is a global network, so data may be processed in countries other than your own. Where required, we use appropriate safeguards for such transfers.
5. How long we keep data
We keep account and company data while your membership is active and for a reasonable period afterwards for legal, accounting and dispute-resolution purposes. Contact messages are kept as long as needed to handle your request. You can ask us to delete your data at any time (see below).
6. Your rights
Depending on where you live (for example under the GDPR, UK GDPR or similar laws) you may have the right to access, correct, delete or restrict the use of your personal data, to object to processing, to data portability, and to withdraw consent at any time. To exercise these rights write to admin@example.com. You may also complain to your local data-protection authority.
7. Security
We use technical and organisational measures to protect your data, including encrypted passwords, access controls and private storage of uploaded documents. No system is completely secure, so please use a strong, unique password.
8. Cookies
We use cookies as described in our Cookie Policy.
9. Children
Our services are intended for businesses and are not directed at children.
10. Changes
We may update this policy from time to time. The date of the latest update is shown at the top of this page.
